Copilot and PDFs in OneDrive and Edge: What It Can and Cannot Do

Microsoft has put Copilot into OneDrive, SharePoint, Teams and Edge. For PDFs, that means you can ask for a summary or ask questions without opening the file in another app. Here is what works, what to watch for, and how it fits with ordinary PDF editing.

Where Copilot appears for PDFs

  • OneDrive and SharePoint (web): select a PDF and choose Copilot actions such as Summarise or Ask a question. You can also compare several selected files.
  • Edge: open a PDF in Edge and use the Copilot sidebar to summarise or ask about the current document.
  • Microsoft 365 Copilot Chat: attach or reference a PDF from OneDrive and ask questions about it.
  • Teams: PDFs shared in chats and channels can be referenced in Copilot conversations.

Feature availability depends on your licence (Microsoft 365 Copilot for business, or consumer Microsoft 365 plans with Copilot) and on admin settings. Microsoft updates these features frequently, so names and menus change.

Good uses

  • Summarising long reports and policy documents.
  • Comparing two versions of a proposal at a high level.
  • Pulling action items and deadlines from meeting packs.
  • Drafting an email that responds to a PDF.

Limits to keep in mind

  • Exact figures and tables can be misread. Check numbers on the page.
  • Scanned PDFs depend on OCR quality.

How your data is handled

For Microsoft 365 business accounts, Copilot works within your organisation's Microsoft 365 boundary, respects existing file permissions, and Microsoft states that prompts and content are not used to train its foundation models. That makes it a reasonable choice for internal documents your organisation has cleared for Copilot.

One side effect is worth knowing: Copilot can surface anything you have permission to see. If SharePoint permissions are too broad, Copilot makes oversharing visible. Many organisations tidy permissions before rolling it out.

Getting better answers

What Copilot does not replace
