Signature lines almost always come with "Date: ________". Adding a clean, legible date to a PDF takes a few seconds once you know where to look. Here are the main methods, from simplest to most advanced.

Method 1: type it as text

This works for almost any PDF.

  1. Open the PDF in Docento.app or another editor.
  2. Choose the text tool.
  3. Click on the date line and type the date.
  4. Adjust the font size so it matches the surrounding text.
  5. Download or save.

On a Mac, Preview's Text tool does the same; on iPhone and iPad, use Markup's Text option. See how to add text to a PDF.

Method 2: a date stamp

For approvals and receipts ("Received 4 Oct 2026", "Approved", "Paid"), a stamp is clearer than plain text. Many editors include dynamic stamps that insert the current date and your name automatically. See how to add a stamp to a PDF.

Method 3: a date field in a fillable form

If you are creating a form for others, add a text field formatted as a date:

  1. Add a text field where the date belongs.
  2. In its properties, set the Format to Date and pick a pattern such as dd/mm/yyyy or yyyy-mm-dd.
  3. Optionally add a script that fills the current date when the form opens or is signed.

Date formatting rejects invalid entries like 31/02. See how to add validation to a PDF form.

Which date format should you use?

Ambiguity causes real problems: 04/10/2026 is 4 October in the UK and April 10 in the US.

  • Follow the document's own format if it shows one ("DD/MM/YYYY").
  • Spell out the month when unsure: "4 October 2026" or "Oct 4, 2026" cannot be misread.
  • Use ISO 8601 (2026-10-04) for technical and international documents. It sorts correctly too.

The date of signing, not the date of receipt

Unless told otherwise, write the date you actually sign. Back-dating a signature can invalidate a document or worse. If you are signing on behalf of an agreement effective from an earlier date, the document should state the effective date separately.

Does an electronic signature need a date?

Legally, many electronic signatures are valid without one, but adding the date removes any doubt about when you signed. Dedicated e-signature platforms record a timestamp automatically in their audit trail. Certificate-based digital signatures include a signing time too, and a trusted timestamp makes it verifiable. See long-term validation and PDF timestamps.

Common problems

  • The date overlaps the line: zoom in and nudge the text box, or reduce the font size.
  • The typed date disappears in another reader: flatten the PDF before sending. See how to flatten a PDF.
  • The date field shows the wrong format: check the field's format setting, not your system locale.

Takeaway

For most documents, typing the date as text next to your signature is all you need. Spell out the month to avoid confusion, date it when you sign, and use date fields only when you are building a form for others. For signing itself, see how to sign a PDF online.
