Exporting a Google Sheet to PDF is one click. Exporting it so that every column fits, the headers repeat on each page and the totals do not land alone on page four takes a few settings. Here is the full process.
The basic export
- Open the sheet.
- Choose File → Download → PDF (or File → Print).
- The print settings panel opens with a preview.
- Adjust settings, then click Export (or Next to print).
Choose what to export
At the top of the panel, under Export, choose:
- Current sheet: just the tab you are on.
- Workbook: every tab, each starting on a new page.
- Selected cells: only the range you highlighted. Select the range before opening the export.
Selecting a range is the fastest way to leave out helper columns and calculations nobody needs to see.
Make it fit the page
- Paper size: Letter or A4, to match where it will be printed.
- Page orientation: wide sheets almost always need Landscape.
- Scale: choose Fit to width so all columns fit across the page. Avoid Fit to page for long sheets, which shrinks everything to unreadable text.
- Margins: Narrow buys extra room.
If text becomes too small with Fit to width, hide columns that do not need to be printed, or shorten long headers.
Repeat headers on every page
Freeze your header row first (View → Freeze → 1 row). In the export settings, under Headers & footers or Formatting, enable Repeat frozen rows. Every page now starts with the column headers.
Control page breaks
Under Set custom page breaks, drag the blue lines to choose where pages split, so related rows stay together. This is especially useful for invoices and reports with grouped sections.
Gridlines, notes and page numbers
- Show gridlines on for data tables, off for formatted reports with borders.
- Page numbers, sheet name and date can be added in headers and footers.
- Show notes prints cell notes at the end.
After exporting
- Check the PDF on screen before sending.

- Add a signature or approval stamp if it is an invoice or report that needs sign-off.
Common problems
- Columns spill onto extra pages: switch to landscape and Fit to width.
- Blank pages at the end: you have stray formatting or content far down the sheet. Export a selected range instead.
- Charts cut in half: move the chart into its own area or tab, or set a custom page break above it.
- Numbers show as ####: widen the column before exporting.
