How to Copy Text from a PDF (and Keep the Formatting Sane)

Copying text from a PDF should take two seconds. Often it does not: the selection jumps around, every line ends with a hard break, ligatures turn into question marks, or nothing highlights at all. Most of these problems have a simple cause and a quick fix.

The basic method

  1. Open the PDF in any viewer, including your browser.
  2. Click and drag across the text, or double-click a word and triple-click a paragraph.
  3. Press Ctrl+C (Cmd+C on Mac), then paste into your document.

On a phone or tablet, press and hold a word, drag the handles to extend the selection, and tap Copy. If the selection starts in the wrong place, zoom in first so the handles are easier to control.

To grab everything, use Ctrl+A (Cmd+A) and copy. This works well for short files but can pull in headers, footers and page numbers on every page.

Copying from columns and tables

PDFs do not store text as flowing paragraphs. They store pieces of text at positions on a page, so a multi-column layout can copy in a strange order.

  • Select one column at a time rather than dragging across the whole page.
  • Use the viewer's column or rectangle selection if it has one. Some viewers let you hold Alt while dragging to select a block.
  • For tables, copy one row or column and check the result. If it pastes as a mess, convert the PDF to Excel or extract it as CSV instead of copying by hand.

Fixing broken line breaks

Pasted text often has a line break at the end of every visual line. To clean it up:

  • In a word processor, use find and replace to turn paragraph marks into spaces, then restore the real paragraph breaks. Many editors offer "paste as plain text" (Ctrl+Shift+V), which removes odd formatting and is a good first step.
  • Hyphenated words split across lines (for example "docu-ment") need a quick manual fix or a find and replace on a hyphen followed by a line break.
  • Extra spaces can be removed by replacing double spaces with single ones.

Missing or strange characters

If you paste and see boxes, question marks or letters in the wrong places, the PDF probably uses a font whose characters are not mapped properly to text. The page looks right, but the text underneath is wrong. Try:

When nothing will select

If clicking and dragging highlights the whole page or nothing at all, the PDF is almost certainly a scan: an image of a page with no real text in it. You have two options:

  1. Run OCR to add a text layer, then copy as normal. Our guide on fixing PDF text that is not selectable walks through it.
  2. Use a viewer with built-in text recognition. Some phone cameras and photo apps can lift text from an image directly, which is handy for a single paragraph.

OCR is not perfect, especially on low-quality scans or handwriting, so proofread what you paste. A higher scan resolution helps; see scanning resolution for documents.

When copying is blocked

Some PDFs have permissions that disable copying. If you own the file or have the password, you can remove the restriction. If the document belongs to someone else, respect the restriction and ask the author for an editable version or permission. See PDF permissions explained for how these settings work.

Quote responsibly

Copied text is still someone else's writing. If you reuse it, quote it, credit the source and keep any legal or copyright notices that go with it. For research work, a reference manager can keep the quote tied to its page number, which saves effort later. See citation management with PDF papers.

A quick checklist

  • Zoom in and select carefully, one column at a time.
  • Paste as plain text, then tidy line breaks.
  • Try another viewer if characters look wrong.
  • Use OCR if the file is a scan.
  • Check permissions before trying to bypass a copy restriction.

With these habits, copying from a PDF becomes a quick job instead of a cleanup project.
