Checklists are everywhere: opening and closing procedures, packing lists, holiday hosting plans, safety checks, onboarding steps, year-end routines. A good printable checklist is quick to scan, easy to tick and fits on one page. A fillable PDF version lets the same list be completed on a screen.
Keep each item short and checkable
Every line should be one action that is clearly done or not done.
Weak: "Kitchen". Better: "Wipe down kitchen counters and switch off the oven."
Start each item with a verb. If an item has several steps, split it. Our guide to building effective team checklists explains why concrete items get followed.
Group items into sections
Long checklists are easier to use when grouped by time, place or person: "Before guests arrive", "During", "After". Use a bold heading for each section and keep sections short.
Design for print
- Tick boxes on the left, so the eye scans down a single column.
- Large enough boxes to tick with a pen, about 5 mm square.
- At least 11 point text.
- Space for notes at the bottom, or a column for initials and time if several people use it.
- One page wherever possible, so it can be pinned up or clipped to a board.
A word processor table works well: one narrow column for the boxes, one wide column for the items. Export to PDF so it prints identically everywhere. See how to convert Word to PDF.
Make a fillable version
If people will complete the checklist on a computer or tablet, add checkbox fields to the PDF. They can then tick items on screen and save or send the completed file. See how to create a fillable PDF form and PDF form field types explained.
Add a date field and a name field at the top, so a completed checklist is a record of who did what and when.
Keep a master copy
Keep one blank master PDF and print or copy from it each time. If the checklist changes, update the master and add a version date in the footer, so old printouts can be spotted.
Add a QR code for the digital version
For a printed checklist in a shared space, a small QR code linking to the latest digital version or a related procedure helps people find the details. See how to add a QR code to a PDF.
Takeaway
Write one action per line, group items into short sections, put tick boxes on the left, keep it to one page, and export to PDF. Add checkbox fields for a fillable version, and keep a dated master copy so everyone uses the current list.
