A bank statement shows far more than most people asking for it need: your full account and sort or routing numbers, every purchase, every person you pay, your salary and your spending habits. A landlord checking affordability or an agency confirming your address rarely needs all of that. Redaction lets you share what is needed and hide the rest, as long as you do it properly.
First, check whether you may redact
Some recipients require a complete, unaltered statement:
- Lenders and mortgage brokers usually do. Do not redact for them unless they say you may. See how to prepare PDFs for a mortgage application.
- Government agencies and visa authorities often do.
- Courts and legal proceedings have their own rules.
For landlords, letting agents, employers checking an address, or anyone verifying a single transaction, ask what they need to see. Often it is your name, address, the bank's name, the date and your income or balance.
What people commonly redact
- Most of the account number (leaving the last four digits).
- Card numbers.
- Unrelated transactions: who you pay and what you buy.
- Reference fields that contain other people's names.
Keep visible whatever the recipient asked to see.
Redact properly, not cosmetically
Drawing a black rectangle over text in a basic editor often only hides it visually. The text underneath can still be selected, copied or extracted. This is the most common redaction mistake, and it has embarrassed law firms and governments. See PDF redaction failures and how to avoid them.
A proper redaction removes the underlying text and data, not just the appearance. Use a tool with a real redaction function, then check the result. Our step-by-step guide is how to redact text in a PDF.
Check your work
After redacting:
- Try to select and copy text in the blacked-out areas. Nothing should come out.
- Search the PDF for an account number or a payee name you removed. It should not be found.
- Check document properties and metadata for anything revealing. See hidden data in PDFs explained.
If you are unsure, a simple fallback is to print the redacted statement and scan it again. The result is an image with no hidden text underneath, though it is larger and no longer searchable.
Be transparent about it
Tell the recipient you have redacted unrelated transactions and account details. Unexplained black boxes can look suspicious. A short note avoids questions.
Keep the original safe
Keep the unredacted original in your own records. Redact a copy, never the only version.
Process sensitive files locally
Uploading a bank statement to an online tool to redact it defeats part of the purpose. Docento.app works in the browser on your device, so the file is not sent to a server. Whatever tool you use, verify the redaction with the checks above.
Takeaway
Check whether redaction is allowed, hide only what the recipient does not need, use a true redaction tool rather than black rectangles, verify by trying to copy and search the removed text, and tell the recipient what you redacted.
